Client Service Associate

We are searching for a Client Service Associate to be the backbone of our team. A career in this role means more than just getting the work done well. You’ll partner with our clients, accountants, financial planners, and partners to ensure our client experience is consistent, engaging, and pleasant. To excel in this role, you should feel comfortable solving problems independently, treating our clients with the utmost care, and interacting with clients in 1-on-1 interactions.
WHAT YOU'LL DO
The Highlights:
- Become the primary point of contact for all clients. Coordinate needs between financial planners, bookkeepers, payroll, investment custodians, and CPAs. You will be the primary contact for delegating all tasks and maintaining excellent client service.
- Ensure client service calendar is strictly followed. Be organized and ensure no task or client fall between the cracks.
- Onboard new firm clients. Ensure clients are informed of all work being completed and understand the timeline for future meetings.
The Details:
- Our clients are excited to get started, so you will be responsible for organizing their documents with as little disruption to the client experience as possible.
- We are tax planning experts. We always ask questions, seek clarifications, and find ways to save clients on any financial matters as if it were our own money. You will be responsible for ensuring everything is implemented.
- Finances are scary to some people, so we are gentle and clear in communications with clients (and future clients) on things like informational statuses, outstanding client tasks, and proactive management.
- Most of our clients are in the Dental Profession. You will be expected to become an expert in the dental field, as it relates to specializations, employee positions, and career path.
- You will be an expert at tracking all open requests closely, with an intense attention to detail. If anything is late, you will track down all information.
- You will keep client files organized and updated so that we're compliant and if anyone needs to find anything it's easy-peasy.
- We log every activity and event related to clients promptly into our CRM. We strive to keep complete notes and working history of clients.
- You will work with clients, advisors, and our external partners to ensure nothing falls through the cracks and take responsibility for all tasks.
- We work as a small, tight unit, so we're looking for a true team player. You should be willing to help out, answer questions, and cover for the team when needed.
REQUIREMENTS
Must-Haves:
- Experience working in a professional firm. Conduct business in a professional manner.
- Comfortable in a fast-growing start-up environment. You will know objectives, and will need to collaborate on the best ways to complete a task.
- Excellent communication skills - on the phone, in person, and in writing. Since you’re often the front-line support for our clients, it’s important that you can communicate without errors, promptly, and with ease.
- You’re an organization-pro. Like maybe you alphabetize your spice rack. You keep everything together for our clients – so this is critical.
- You sincerely love working with people. You treat your teammates and clients with respect and care. Our clients become friends and we do everything we can to advocate on their behalf.
- Cloud-based applications, e-signatures, and new technology don’t daunt you. We use a lot of technology.
- You have an understanding and appreciation of clients.
Icing on the Cake:
- Desire to obtain CFP, CPA, EA, or other financial or tax credentialing. You will have the opportunity for substantial professional growth.
- Tax or Financial industry knowledge and/or experience.
- Previous experience working in a dental office or in the dental profession.
- Previous experience working in a small accounting firm with small business clients.
- Prior experience with software systems we use (eMoney, Wealthbox, Canopy, TD Ameritrade, Altruist, Slack, Gmail, Riskalyze, Quickbooks, Bench, Fathom, Gusto, and more ... yes there's a lot!)
